Effective Date: Upon activation of the Google Drive integration
Ewha Washington DC Chapter operates Ewha DC Mail Desk, a private administrative application designed to assist authorized chapter officers in managing chapter communications, events, membership information, and official documents.
The Google Drive integration allows authorized Mail Desk users to browse, search, and view chapter documents stored in the chapter’s designated Google Drive account without requiring separate Google sign-ins for each Mail Desk user.
With authorization from the designated Google account, Ewha DC Mail Desk may request the following Google OAuth permissions:
Google Drive read-only access (drive.readonly): To retrieve file and folder information and read document contents when requested by an authorized user.
Basic Google account identity (openid, email): To verify the identity of the Google account authorizing the integration.
Google Drive information accessed may include file and folder names, IDs, types, parent folder relationships, modification dates, and document contents.
The Drive read-only permission can provide access to all files accessible to the connected Google account, even when certain file types are excluded from the Mail Desk interface.
Google Drive data is used only to provide the chapter’s internal document management functionality, including:
Displaying Google Drive folders and document lists within Ewha DC Mail Desk.
Searching for and locating chapter documents.
Opening or previewing documents requested by authorized users.
Synchronizing changes when documents are added, modified, moved, or removed in Google Drive.
Google Drive data is not used for advertising, marketing, sale to data brokers, or unrelated commercial purposes.
Google Drive remains the primary storage location for original documents.
Ewha DC Mail Desk is designed not to create permanent duplicate copies of Google Drive document contents on its application server.
The application may retain limited file metadata, such as file IDs, names, folder relationships, and synchronization information, to support efficient browsing and updates.
Document contents may be transferred temporarily through the application server when an authorized user opens or previews a file. Temporary processing does not constitute permanent document storage. A user’s browser may also temporarily cache displayed content.
Google OAuth credentials and tokens will be stored securely with restricted server-side access. Connection information and synchronized metadata will be retained only as necessary to operate the integration, subject to applicable legal or security obligations.
Access to the Mail Desk document library is restricted to authorized chapter accounts and is controlled by the application’s authentication and authorization mechanisms.
The application uses encrypted HTTPS connections to communicate with Google APIs and users’ browsers.
The integration requests read-only Google Drive permission and is not intended to modify, delete, or overwrite original Google Drive files.
Information obtained through Google APIs is made available only to authorized users for the chapter’s legitimate administrative purposes.
Google user data is not sold or provided to advertising networks or data brokers. Data may be processed by necessary infrastructure service providers to operate the application, subject to appropriate security protections, or disclosed when legally required.
Google Drive data accessed through this integration is not used to train artificial intelligence models.
Ewha DC Mail Desk’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The authorized Google account holder may revoke the application’s access through Google Account security settings:
https://myaccount.google.com/connections
The account holder may also contact the chapter administrator to request disconnection of the Google Drive integration and deletion of the associated stored authorization credentials and synchronized metadata, subject to applicable legal or security retention requirements.
Disconnecting the integration does not delete original documents from Google Drive.
This policy may be updated when the Mail Desk integration or its data-handling practices change. Material changes affecting the use of Google user data will be disclosed, and additional consent will be obtained where required.
